WhatsApp automation for businesses

With WhatsApp automation, an AI assistant answers customer messages on your own business number: questions about prices and service area, completing a request with a photo, and booking an appointment. Difficult questions come to you, and you can always step in yourself.

How does WhatsApp automation work?

The assistant reads every incoming message, answers what it knows from your information, and asks follow-up questions where something is missing: what's the problem, what's the address, how urgent is it. The request then lands complete in your dashboard, or an appointment is suggested straight away.

In its first message the assistant always introduces itself as a digital assistant, so the customer knows where they stand, as the EU AI Act requires.

Which WhatsApp account do you need?

Automation runs on the official WhatsApp Business platform, on your own number. We handle the application and setup. You pay the message costs directly through your own WhatsApp Business account; usually just a few euros a month. Read more in WhatsApp Business app or API: what's the difference?.

What does the assistant do, and not do?

  • It does: answer questions from your information, complete a request, suggest appointments and share the status of a job.
  • It doesn't: invent custom prices, handle complaints or make promises. Those conversations go to you, with the context attached.

You decide what the assistant knows and is allowed to do. Every conversation shows up in the dashboard, and you take it over with one click; the assistant then stops in that conversation. Voice messages are transcribed, so you can read them when you can't listen. Messages you start yourself, such as a reminder, go out through templates approved by WhatsApp. That keeps you within WhatsApp's rules and keeps your number in good standing.

Who is it for?

For businesses that get many WhatsApp messages and can't always reply straight away, such as installers (WhatsApp for installers), workshops, salons and hospitality.

Examples by industry

An installer gets a message about a leaking tap; the assistant asks for a photo and the address and suggests a time. A bike repair shop lets the assistant explain roughly what a repair costs and when the bike can be dropped off. At a salon a customer books an appointment via WhatsApp and gets a reminder the day before. In hospitality a guest asks whether there's room for six tomorrow at 19:00 and gets an answer based on your reservations. And an estate agent has questions about a property answered straight away or passed on to the right colleague.

How it works

  1. Customer sends a WhatsApp
  2. Assistant answers and asks follow-up questions
  3. Complete request in your dashboard
  4. Appointment suggested or confirmed
  5. Reminder and follow-up

Frequently asked questions

Do I keep my own number?

Yes. The assistant works on your own business number.

Can I still message customers myself?

Yes. You can take over any conversation at any time.

Is WhatsApp automation GDPR-compliant?

We only process what's needed for the request, data is stored on a server in the EU, and customers know they're talking to a digital assistant.

Which package includes it?

Reachable+ and the Office packages. Reachable starts from €79 a month.

How do I answer customers' WhatsApp messages automatically outside opening hours?

With a WhatsApp assistant on your own number. It replies straight away, in the evening and at weekends too, answers the standard questions, takes down the request and suggests a time. You see everything the next morning. A simple away message only says you're not there; an assistant actually helps the customer along.

How do I automate WhatsApp for my business?

In four steps. Your business number is connected to the official WhatsApp platform for businesses, and you keep your own number. We record what the assistant needs to know: your services, service area, opening hours and the questions you always ask. The assistant answers messages, completes the request and suggests a time, while difficult questions come to you. And you see every conversation in your dashboard and can always step in yourself.

What does WhatsApp itself charge?

WhatsApp's message costs are paid by your business directly to Meta, with your own payment method. Messages your business starts cost a few cents each; replies within 24 hours are free. We don't charge anything on top of that.

Can I try it first?

Yes. You can try it free for 14 days, without payment details. During the trial you also pay WhatsApp's message costs directly to Meta.
