Machinery, garden and grounds equipment

Peak season without the chaos: the digital office assistant for machinery workshops

In March everyone wants their mower back at once, in October it's leaf blowers and in November snow ploughs. A workshop for garden, grounds, agricultural or construction machinery runs on the seasons, and it's exactly in the rush that the phone calls pile up.

Try free for 14 days. No payment details, ends automatically. How the trial works

Landscapers, councils and homeowners all want to know when their machine will be ready, whether a part is in stock and what the repair will cost. Handle all that by phone and you barely get round to the actual work.

How Corvo Apex helps, in three steps

Intake with the right details

With every request, the assistant asks for the make, model, serial number if known, the problem and a photo. So at check-in you already know what to expect and which parts you might need to order.

Status and parts in one overview

Every machine in the workshop has a status: checked in, parts ordered, in progress, ready. The customer can be updated automatically at each step. Parts used are deducted, and an order suggestion is ready when stock runs low.

Ready, invoiced and collected

When the machine is marked ready, the customer is told to collect it or a delivery job is scheduled. Once approved, the invoice goes to the customer with a payment link and into your books.

Worked example

A garden and grounds machinery workshop in Wierden

This is a worked example, not a real customer. As soon as there's a real case, you'll find it here.

Starting point. A dealer with a workshop, two mechanics and a seasonal worker in spring. In March and April there are dozens of machines in at once. Customers ring to ask how it's going, and the status is on a note taped to the machine.

What we set up. Office Team, with an intake based on make, model and fault, workshop statuses with automatic messages, stock with order suggestions, and a spring service round for regular customers.

What you'd see after a month. Fewer calls about status, a workshop where everyone can see what needs finishing, and parts ordered in time rather than once the machine is already on the bench.

Questions from the field

Can customers send a photo of the rating plate?

Yes. The intake asks for a photo of the machine and, if possible, the rating plate, so you know the model in advance.

Does this work for business customers like landscapers and councils?

Yes. You can record regular customers with several machines, and they get the same status updates.

Can we plan a spring service round?

Yes. The dashboard invites regular customers in good time and slots the services into the schedule.

How are parts handled?

Parts used are deducted when a job is closed. If stock drops below the minimum, an order suggestion is ready.

Can we deliver a machine?

Yes. When it's ready, a delivery job can be created and added to the mechanic's schedule.
